Personnel Services

Personnel Services are transportation routes for employees. RouteBot supports multiple service types: Standard Services for regular schedules, Shift-Based Services for varying work schedules, and Transfer Personnel Services for transfer-based operations.

Types of Personnel Services

Standard Personnel Services

Regular, scheduled transportation services:

  • Fixed routes running on consistent schedules
  • Same employees use the service regularly
  • Ideal for standard work hours (9-to-5 schedules)

Shift-Based Personnel Services

Transportation tied to work shifts:

  • Services run based on shift schedules
  • Employees are assigned based on their shift
  • Ideal for factories, hospitals, or operations with rotating schedules

Transfer Personnel Services

Transportation linked to transfer regions:

  • Services organized by geographic transfer regions
  • Employees are assigned based on their transfer region
  • Ideal for organizations with multiple pickup/drop-off zones
  • Integrates with the Transfers feature for comprehensive transfer management

Accessing Personnel Services

  1. Click Services in the main navigation
  2. You'll see tabs for different service types:
    • Vehicle Routes - School/student transportation routes
    • Standard Personnel Services - Regular scheduled services
    • Shift Personnel Services - Shift-based services
    • Transfer Personnel Services - Transfer region-based services

Note: The tabs you see depend on your permissions and enabled features.

Creating a Standard Personnel Service

To create a standard service:

  1. Click Create New Service in the Standard Services tab
  2. Fill in the service information:

Route Types

Pickup Services

  • Passengers are collected from home
  • Destination is the company
  • Arrival time = when you want to reach the company

Drop-off Services

  • Passengers are collected from the company
  • Destination is each passenger's home
  • Arrival time = when the service departs

Adding Passengers

  1. In the Passengers field, search for employees
  2. Select passengers to add them to the service
  3. They appear in a list below

Vehicle and Driver

Field Description
Plate License plate of the vehicle
Drivers Select one or more drivers

Saving

Click Create to save the new service.

Creating a Shift-Based Service

Shift-based services are linked to predefined shifts:

  1. Click Create New Service in the Shift Services tab
  2. Select the shift this service is for
  3. Fill in the service details
  4. Add passengers who work that shift
  5. Save the service

Note: You must have shifts configured before creating shift-based services. See Shifts.

Creating a Transfer Personnel Service

Transfer-based services are linked to predefined transfer regions:

  1. Click Create New Service in the Transfer Personnel Services tab
  2. Select the transfer region this service covers
  3. Fill in the service details:
    • Company/destination
    • Service name
    • Route type (Pickup or Drop-off)
  4. Add employees assigned to that transfer region
  5. Save the service

Note: You must have transfer regions configured before creating transfer services. See Transfers.

When to Use Transfer Services

Transfer Personnel Services are ideal when:

  • Your organization has defined geographic zones
  • Employees are grouped by pickup areas
  • You need to coordinate multiple transfer points
  • Integration with the Transfers feature is required

Service Settings

Active/Inactive Status

Status Description
Active Service is operational
Inactive Service is not in use

Timing Settings

Setting Description
Arrival Time Target time at destination
Start Time When tracking begins
End Time When tracking ends

Show Passenger Times

When enabled:

  • Individual pickup times are calculated
  • Passengers see their expected pickup time
  • Helps passengers know when to be ready

Using the Service Map

Similar to vehicle routes, services have a map feature:

Viewing the Map

  1. Add passengers to the service
  2. Click Show Map
  3. View the route visualization showing:
    • Company location (destination)
    • Passenger pickup points
    • Route connecting all stops

Optimizing Stop Order

  1. Click the optimize button
  2. RouteBot calculates efficient ordering
  3. The passenger list is reordered
  4. Save to keep the new order

Editing a Service

To modify an existing service:

  1. Go to Services and select the appropriate tab
  2. Click on the service to edit
  3. Update fields as needed
  4. Add or remove passengers
  5. Click Update to save

Deleting a Service

To delete a service:

  1. Open the service details
  2. Click Delete
  3. Confirm the deletion

Best Practices

Service Naming

Use clear, descriptive names:

  • Include direction: "Morning Pickup" or "Evening Drop-off"
  • Include area if relevant: "North Side Morning"
  • Include shift name for shift services: "Night Shift Pickup"

Passenger Organization

  • Group passengers by geographic area
  • Use optimization to find best stop order
  • Keep service sizes within vehicle capacity

Multiple Services

For large operations:

  • Create separate pickup and drop-off services
  • Split large areas into multiple services
  • Consider traffic patterns when planning times

Shift Services

For shift-based operations:

  • Set up shifts first (see Shifts)
  • Create corresponding services for each shift
  • Assign passengers based on their work schedule

Common Issues

"Passenger doesn't appear in search"

  • Check the passenger record exists
  • Verify the passenger has a verified address
  • Confirm they're assigned to the correct company

"Service map not loading"

  • Ensure all passengers have verified addresses
  • Check company location is set correctly
  • Try refreshing the page
