Live Tracking

Live Tracking allows you to monitor your vehicles in real-time. See where each vehicle is, track route progress, and ensure services are running smoothly.

Accessing Live Tracking

  1. Click Live in the main navigation
  2. Select the service type tab:
    • Personnel Services - For employee shuttle tracking (appears first if you have personnel access)
    • Vehicle Routes - For school bus tracking (appears first if you only have student access)

Note: The tab order depends on your permissions. If you have access to personnel services, that tab appears first.

Understanding the Live View

The Live Tracking interface shows:

Service List

A list of active services/routes with:

  • Service name
  • Current status
  • Driver information
  • Employee/student count

Live Map

A map displaying:

  • Vehicle locations in real-time
  • Route paths
  • Pickup/drop-off points
  • Status indicators

Vehicle Status

Each vehicle can have different statuses:

Status Meaning
Active Service is currently running
En Route Vehicle is on the way
At Stop Vehicle is at a pickup/drop-off point
Completed Service has finished
Inactive Service is not running

Tracking Features

Real-Time Location

  • Vehicle positions update automatically
  • See the current location on the map
  • Track movement as vehicles proceed

Route Progress

For each service, you can see:

  • How many stops have been completed
  • Which employees or students have been picked up
  • Remaining stops on the route

Arrival Information

The system calculates:

  • Estimated time of arrival at each stop
  • Time until reaching the destination
  • Any delays or schedule variations

Viewing Service Details

Click on any service in the list to see:

Service Information

  • Route name and type
  • Assigned driver(s)
  • Vehicle plate number
  • Schedule information

Passenger/Student List

  • All employees or students on the route
  • Pickup/drop-off status for each
  • Parent/contact information (for students)

Map Focus

  • Map centers on the selected service
  • Shows the full route path
  • Highlights current position

Filtering and Search

Filter by Status

Show only services that are:

  • Currently active
  • Completed today
  • Pending start

Search

Find specific:

  • Routes by name
  • Drivers
  • Vehicles by plate number

Notifications and Alerts

The Live Tracking view may show alerts for:

  • Vehicles running behind schedule
  • Missed stops
  • Extended stops
  • Route deviations

Using Live Tracking

Morning Monitoring

During morning pickup routes:

  1. Open Live Tracking
  2. Select Vehicle Routes tab
  3. Monitor as buses collect students
  4. Verify arrivals at schools

Evening Monitoring

During evening drop-off:

  1. Open Live Tracking
  2. Watch as students are delivered home
  3. Confirm route completions

Employee Services

For personnel transportation:

  1. Select Personnel Services tab
  2. Monitor shift services
  3. Track arrivals at the company

Best Practices

Regular Checks

  • Monitor during peak service times
  • Watch for any delays or issues
  • Respond quickly to problems

Multiple Routes

When managing many routes:

  • Use filters to focus on specific areas
  • Check the status summary
  • Investigate any exceptions

Communication

Use tracking information to:

  • Update parents about delays
  • Coordinate with drivers
  • Manage schedule changes

Troubleshooting

"Vehicle not showing on map"

  • Check that the service is Active
  • Verify the vehicle has GPS tracking enabled
  • Ensure the service is within operating hours

"Location seems stuck"

  • GPS signal may be temporarily lost
  • Wait a moment for updates
  • Contact the driver if persistent

"Routes not appearing"

  • Check your permission level
  • Verify routes are set to Active
  • Ensure you're looking at the correct tab

Mobile Access

Live Tracking works on mobile devices:

  • Access through a mobile browser
  • Same features as desktop
  • Monitor on the go
