Team Management

Invite teammates to help manage your transportation operations. Control what each person can access and manage permissions.

Accessing Team Management

  1. Click Settings in the navigation
  2. Select the Team or Teammates tab
  3. View and manage your team

Understanding Team Roles

Account Owner

The account owner has:

  • Full access to all features
  • Ability to manage billing
  • Permission to invite/remove team members
  • Access to all schools/companies

Team Members

Team members can have:

  • Limited feature access based on permissions
  • Access to specific schools only
  • Various permission combinations

Viewing Team Members

The team list shows:

  • All users with access to your account
  • Their email addresses
  • Their permission levels
  • Pending invitations

Inviting New Team Members

Sending an Invitation

  1. Click Invite New User
  2. Enter the new member's information:
    • Name - Their full name
    • Email - Their email address (must be valid)
  3. Select which schools they can access
  4. Click Send Invite

What Happens Next

The invited person receives:

  • An email invitation
  • A link to create their password
  • Instructions to access the system

Pending Invitations

Invited users who haven't accepted yet:

  • Appear in the list as "Pending"
  • Can be reminded or revoked
  • Need to accept before accessing

Managing Permissions

Permission Categories

Permissions are organized into groups:

Student Transportation

  • Access to Students - Manage student records
  • Access to Accounting - View and manage finances

Personnel Transportation

  • Access to Personnel - Manage passenger records
  • Access to Shifts - Manage work shifts
  • Access to Transfers - Handle transfers
  • Access to Service Reports - View reports

Inventory

  • Access to Inventory - View fleet management
  • Write Access to Inventory - Modify fleet records

Other

  • Access to Live Tracking - View real-time tracking
  • Access to ServisTesiN - Special features

Setting Permissions

For each team member:

  1. Select the team member
  2. Check/uncheck permission boxes
  3. Save changes

Permission Effects

Permissions control:

  • Which menu items appear
  • What data users can see
  • What actions they can perform

School/Company Access

Assigning Schools

Control which schools a team member can access:

  1. Select the team member
  2. Check the schools they should access
  3. Save changes

Access Implications

Users only see data for their assigned schools:

  • Students in those schools
  • Routes for those schools
  • Contracts for those schools

All Schools vs. Specific Schools

  • All schools checked - User sees everything
  • Specific schools checked - User only sees those schools
  • No schools checked - User can't access data (avoid this)

Modifying Team Members

Changing Permissions

  1. Select the team member
  2. Adjust permission checkboxes
  3. Adjust school access as needed
  4. Click Update
  5. Confirm the changes

Note: If you update your own permissions, the page may reload.

Removing Team Members

To remove someone's access:

  1. Select the team member
  2. Click Remove User
  3. Confirm the removal

The user will immediately lose access to the system.

Revoking Invitations

For pending invitations:

  1. Select the pending invitation
  2. Click Revoke Invite
  3. Confirm the revocation

The invitation link becomes invalid.

Best Practices

Principle of Least Privilege

  • Give only the permissions needed
  • Start with minimal access
  • Add permissions as needed

School Assignment

  • Assign users only to schools they manage
  • Review assignments when staff changes
  • Limit access to sensitive data

Regular Review

  • Review team access periodically
  • Remove access for departed staff promptly
  • Update permissions as roles change

Documentation

  • Keep track of who has what access
  • Document why permissions were granted
  • Note any special requirements

Security Considerations

Password Security

Remind team members to:

  • Use strong passwords
  • Not share login credentials
  • Log out when done

Access Monitoring

Be aware that:

  • All users can see their assigned data
  • Actions are logged
  • Sensitive data should have limited access

Removing Access

When someone leaves:

  • Remove their access immediately
  • Review any shared accounts
  • Update passwords if needed

Troubleshooting

"Teammate can't log in"

  • Check their invitation was accepted
  • Verify their email is correct
  • Have them reset password if needed

"Teammate can't see data"

  • Check their school assignments
  • Verify permission settings
  • Ensure they have necessary access

"Can't modify permissions"

  • Verify you have permission to manage team
  • Check you're not modifying the owner account
  • Contact support if needed
