Managing Drivers

Drivers in RouteBot are the people who operate your vehicles. Driver records contain contact information and can be assigned to routes and services.

What is a Driver?

A Driver record in RouteBot includes:

  • Basic information (name, phone number)
  • Vehicle license plate (optional)
  • Contact details
  • Address information

Drivers can be assigned to:

  • Student vehicle routes
  • Personnel/employee services
  • Multiple routes if needed

Accessing Drivers

  1. Click Users in the main navigation
  2. Select the Drivers tab
  3. You'll see a list of all drivers in your system

Creating a New Driver

To add a new driver:

  1. Click the Create New Driver button
  2. Fill in the required information

Required Fields

Field Description
Name The driver's full name

Contact Information

Field Description
Phone Number Driver's mobile number
Second Phone Alternative contact number (optional)
Identity Number Driver's license number or ID (optional)

Vehicle Information

Field Description
Plate The license plate of the driver's usual vehicle

Note: The plate field on the driver record is for reference. Routes have their own plate field that can be different if drivers share vehicles.

Phone Number Format

When entering a phone number:

  1. Select the country code from the dropdown
  2. Enter the phone number without the country code
  3. The system validates the format

Address (Optional)

You can optionally add the driver's address:

  1. Enter the address in the address field
  2. Click Get Location from Address
  3. Verify the map pin location

This is for reference and contact purposes only.

Saving

Click Create to save the new driver. You can edit these details at any time.

Editing a Driver

To modify an existing driver:

  1. Go to Users > Drivers
  2. Click on the driver you want to edit
  3. Update the desired fields
  4. Click Update to save changes

Assigning Drivers to Routes

Drivers are assigned when creating or editing routes/services:

For Student Vehicle Routes

  1. Go to Services > Vehicle Routes
  2. Open or create a route
  3. In the Vehicle and Passengers Info section, select driver(s) from the Drivers dropdown
  4. Save the route

For Personnel Services

  1. Go to Services > Personnel Services
  2. Open or create a service
  3. Assign the driver from the available options
  4. Save the service

Tip: Multiple drivers can be assigned to a single route. This is useful for routes that have a primary driver and backup drivers.

Driver Information in Notifications

When drivers are assigned to routes:

  • Driver name and phone can be included in SMS notifications
  • Parents/passengers can contact the driver if needed
  • This provides transparency and communication options

Deleting a Driver

Warning: Consider the impact before deleting a driver. They may be assigned to active routes.

To delete a driver:

  1. Open the driver details
  2. Scroll to the bottom
  3. Click Delete
  4. Confirm the deletion when prompted

Before deleting, you may want to:

  • Check which routes the driver is assigned to
  • Reassign routes to other drivers
  • Consider if you need to keep records for historical data

Best Practices

Contact Information

  • Always add a phone number for drivers
  • Verify phone numbers are correct and active
  • Add a secondary contact if available

Vehicle Assignment

  • Keep the plate field updated with the driver's usual vehicle
  • This helps with quick reference
  • Remember: route plates override driver plates when needed

Organization

  • Use driver names consistently
  • Keep records updated when drivers change
  • Remove or update records for drivers who leave

Multiple Vehicles/Drivers

For complex situations:

  • One driver can be assigned to multiple routes
  • One route can have multiple drivers assigned
  • Use the route-level plate field if vehicles vary
