Data Validation

The Analysis section helps you identify and fix data issues in your system. Find missing information, validate addresses, and ensure your data is complete and accurate.

Accessing Data Validation

  1. Click Analysis in the main navigation
  2. Select the Missing Data tab
  3. View data issues and recommendations

What is Data Validation?

Data validation helps you find:

  • Students without parents linked
  • Students without verified addresses
  • Employees with missing information
  • Routes with incomplete data
  • Other data quality issues

Missing Data Report

The Missing Data report shows:

Students Without Parents

Lists students who:

  • Have no parent linked
  • Cannot receive notifications
  • Need parent information added

How to fix:

  1. Click on the student name
  2. Go to the student record
  3. Add a parent in the Parent Information section
  4. Save the student

Students Without Addresses

Lists students who:

  • Have no pickup address set
  • Have no drop-off address set
  • Have addresses that aren't verified

How to fix:

  1. Click on the student name
  2. Open their record
  3. Enter and verify both addresses
  4. Ensure map pins are correct
  5. Save the student

Other Data Issues

The report may also show:

  • Parents without phone numbers
  • Employees with unverified addresses
  • Routes with missing information

Shift Service Reports

If you have access to shift service reports (requires both Service Reports and Shifts permissions):

  1. Select the Shift Service Reports tab
  2. View detailed shift service reports
  3. Analyze service performance

Note: This tab only appears if you have both the Service Reports and Shifts permissions enabled.

What's in Shift Service Reports

  • Service completion rates
  • Employee pickup/drop-off data
  • Timing analysis
  • Route efficiency metrics
  • Shift-specific performance data

Using Data Validation

Regular Review

Check data validation regularly:

  • Weekly during active periods
  • Before each new term/semester
  • After bulk data imports

Prioritizing Fixes

Focus on issues that affect operations:

  1. Students without addresses (can't be on routes)
  2. Students without parents (no notifications)
  3. Other data quality issues

Bulk Fixes

For many issues:

  • Work through the list systematically
  • Fix related issues together
  • Verify fixes are saved

Common Data Issues

"Student doesn't appear in route assignment"

Check if the student:

  • Has verified addresses
  • Is set to Active status
  • Is assigned to the correct school

"Parent not receiving notifications"

Check if:

  • Parent is linked to the student
  • Parent has a valid phone number
  • Phone number format is correct

"Route showing warnings"

Check for:

  • Students without addresses
  • Students without parents
  • Invalid or unverified locations

Data Quality Best Practices

At Data Entry

  • Enter complete information
  • Verify addresses immediately
  • Link parents to students right away

Regular Maintenance

  • Review data validation weekly
  • Fix issues promptly
  • Keep records updated

Before Term Start

  • Run full data validation
  • Fix all critical issues
  • Verify route assignments

After Data Import

  • Check for import errors
  • Verify addresses for new records
  • Link parents appropriately

Fixing Common Issues

Adding Missing Parent

  1. Find the student in the report
  2. Click to open their record
  3. In Parent Information, click "Add Parent"
  4. Either select existing parent or create new
  5. Save the student

Verifying an Address

  1. Open the student or employee record
  2. Find the address field
  3. Click "Get Location from Address"
  4. Check the map pin location
  5. Adjust if needed
  6. Save the record

Updating Phone Numbers

  1. Open the parent or employee record
  2. Enter the phone number with country code
  3. Verify the format is valid
  4. Save the record

Troubleshooting

"Data validation not loading"

  • Refresh the page
  • Check your internet connection
  • Verify your access permissions

"Issue marked as fixed but still appears"

  • Verify the fix was actually saved
  • Refresh the validation report
  • Check if there are multiple issues

"Can't find the record to fix"

  • Use the search function
  • Check filter settings
  • Verify your access level
