RouteBot helps you track business expenses and process refunds to parents. Keep complete financial records for your transportation operation.
Expenses
What is an Expense?
An Expense in RouteBot records money spent on your transportation business:
- Fuel purchases
- Maintenance costs
- Office supplies
- Any other business costs
Accessing Expenses
- Click Accounting in the main navigation
- Select the Expenses tab
- View the list of all expenses
Recording a New Expense
To record an expense:
- Click Create New Expense
- Fill in the details:

- Click Create to save

Viewing Expense Details
Click any expense to see:
- Full description
- Amount and date
- Category information
- Any attached notes
Editing an Expense
- Open the expense
- Update the necessary fields
- Click Update to save
Deleting an Expense
- Open the expense
- Click Delete
- Confirm the deletion
Refunds
What is a Refund?
A Refund (also called Withdraw) records money returned to parents:
- Overpayments returned
- Service cancellation refunds
- Partial service refunds
Accessing Refunds
- Click Accounting in the main navigation
- Select the Refunds tab
- View the list of all refunds
Recording a New Refund
To record a refund:
- Click Create New Refund
- Fill in the details:

Refunds affect financial records:
- Reduce total revenue

Viewing Refund Details
Click any refund to see:
- Full refund information
- Linked contract/parent
- Amount and date
- Reason and notes
Editing a Refund
- Open the refund
- Update the necessary fields
- Click Update to save
Deleting a Refund
- Open the refund
- Click Delete
- Confirm the deletion
Vehicle Payments
What are Vehicle Payments?
Vehicle Payments (Vehicle Compensations) track payments made to vehicle operators:
- Payments to subcontracted drivers
- Vehicle owner compensation
- Route-based payments

- Click Accounting in the main navigation
- Select the Vehicle Compensations tab
- View the list of all payments
Recording a Vehicle Payment
- Click Create New Payment
- Fill in the details:
